The definition of an organisation chart is that it represents the management structure of an organisation, which includes department managers and non management employees within a company.

In order to make an organisation chart you can use SmartArt graphic in Microsoft Word, Microsoft Excel, Microsoft Outlook or Microsoft PowerPoint, which afterwards can be included in included in your document, worksheet or presentation.

For this presentation we would use Microsoft Word as the platform for creating the organisation chart.

Create an organisation chart

1. To begin first open a new Microsoft Word document and simply click on the “Insert” tab in left top corner of the screen and then click on the “SmartArt” button.


2. After you have clicked the button, a new window will appear called “Choose a SmartArt Graphic“, where you can find various layouts of so called chart building blocks, which you can use for making different types of charts. In order to make an organisation chart you should select the “Hierarchy” button on the left side of the window and then click on any of the icons represented in this group that you see most fitting for you. For this purpose we are going to select the “Organisation Chart” button.


3. After you have selected the previous button a new window should be inserted in the page of the document which represent the building blocks of your organisation chart.


4. Now that you have your building block in front of you you can start writing the details of the managers and non management employees in them. In order to write in the information there are two ways:

  • One of them is to expand the window by clicking the “><” button on the left side of the window which will show bullets that represent each text pane.
  •  The other way is to directly click on any text pane and start writing



5. After you have done that, you should simply just type the name and surname of the employee, click the “Enter” button and type his title.



Add or delete boxes in your organisation chart

1. In order to add a box you should just press the “Enter” button while in the text pane window.


2. If you want to make a box to come in sub order to a main box, than you simply click the “Tab” button.


3. To delete a box you should only click the “Delete” button.

Change the colours of your organisation chart

You can apply colour combinations that are derived from the theme colours to the boxes in your SmartArt graphic.

1. Click the SmartArt graphic whose colour you want to change.

2. Under SmartArt Tools, on the Design tab, in the SmartArt Styles group, click Change Colours.


3. Click the colour combination that you want.
